Why We Built Proaction Explore

TLDR: Proaction Explore turns your fleet spreadsheets into interactive dashboards in seconds, just by asking questions in plain English. It's free, and waitlist members get $750 in AI credits. proaction.com/explore

Every week, I talk to fleet managers and operators who tell me some version of the same thing: "I know AI can help me. I just don't know where to start."

And I get it. Maybe you've tried dropping your data into ChatGPT or Claude a few times. You asked it to analyze a spreadsheet of repair orders or summarize your PM compliance numbers. And it probably gave you something. Maybe even something useful. But then it hallucinated a metric that doesn't exist in your world, or missed the nuance of how your shop actually tracks downtime, or gave you a wall of text when what you really wanted was a chart you could show your ops meeting on Monday morning.

That's the gap we kept hearing about. Fleet teams don't just want AI that can talk; they want AI that can show. They want dashboards. They want graphs they can interact with, save, and come back to next week when the new data comes in. They want something that actually understands fleet operations, not a general-purpose tool that needs a 200-word prompt just to get in the ballpark.

That's why we built Proaction Explore.

The hard part was never the analysis

At Proaction, our customers already know this: the hardest part of getting value from your data isn't the analysis itself. It's getting the data into the system in the first place. Garbage in, garbage out; it's a cliche because it's true.

That's why our entire platform is built around customization. We tailor our workflows and operations to each and every customer, because no two fleet operations are the same. The way you track maintenance, the way you structure your repair orders, the way you report on utilization: it's all different. Once that data foundation is solid, the insights come fast. Our customers make data requests to us, and we can develop complex, in-depth reports very quickly; in large part because we use AI internally to build those reports on top of reliable data.

But not every fleet is ready for a full platform. Some teams just need answers from the data they already have sitting in spreadsheets, exports, and CSV files across three different systems.

Making it accessible to everyone

Our goal with Proaction Explore was simple: give fleet operators the same powerful reporting experience our platform customers get, without requiring them to be a Proaction user first.

We wanted to make it dead simple. Upload your data; whether it's service records, claims data, repair orders, work units, tolling, revenue, whatever you've got; and just start asking questions in plain English. "How much did my fleet spend on PMs last month?" "Which locations have the highest repeat-repair rate?" "Rank my locations by downtime in the last 30 days."

And instead of getting back a paragraph of text, you get a real dashboard. Charts, graphs, tables; built in real time, right in front of you. You can adjust how they look, what's included, what's filtered, all just by talking to it. When new data comes in next week, upload the updated file and refresh the dashboard you already built instead of starting from scratch.

You can also bring in data from multiple systems at once. As long as there's a common identifier across your files (like a VIN or vehicle number), Explore can pull from multiple spreadsheets and combine everything into a single dashboard. So your service data, your claims data, and your revenue data can all live in the same view.

The key difference from generic AI tools is that Explore is built on Proaction's fleet operations platform and domain knowledge. It understands fleet-specific workflows across maintenance, claims, utilization, and more. It's not guessing what "PM compliance" means or how to interpret a repair order line item; it knows, because that's what Proaction was built to do.

Why we're offering it for free

We're opening Proaction Explore with free early access, and every person who joins the waitlist gets $750 in AI credits; enough to cover months of typical use.

Why? Because we know budgets are tight right now. We know that getting approval for another piece of software, especially one that isn't going to be immediately transformational, can be a tough sell internally. We don't want cost to be the thing standing between you and a better way to work with your data.

Whether you're an existing Proaction customer or you've never heard of us before today, we want your feedback. Every conversation, every dashboard built, every piece of friction someone runs into: that's how we learn. And those learnings are going directly into the next generation of the Proaction platform we're building.

I can't say too much about that yet. But I'll say this: if you like the experience of typing a question into Proaction Explore and watching a dashboard come to life in real time, imagine if that was the experience for your entire fleet management software. Stay tuned.

Why Most Fleets Are Only Using 10% of the Data They Already Have

Your fleet generates more data than ever. Telematics, fuel cards, tolls, maintenance systems, you name it. But if it's trapped in separate portals and spreadsheets, it might as well not exist. Here's why the data utilization gap is the biggest missed opportunity in fleet operations.
