Case Study: Vehicle Solutions by EquipmentShare Drives Game-Changing Results with Proaction
💡

Formerly known as Resla. This customer is now operating as Vehicle Solutions by EquipmentShare, a brand under EquipmentShare.

Update: February 2026

In addition to the service and maintenance workflows outlined below, Vehicle Solutions by EquipmentShare has adopted Proaction for even more key operational workflows, further consolidating their tech stack and driving measurable results.

Claim Management: $2M+ Processed

Vehicle Solutions by EquipmentShare previously relied on Claimable, a standalone claim management software, to handle damage claims. They have since migrated entirely into Proaction, consolidating claims into their existing fleet management platform.

Here's how it works:

  1. Damage reports from the field automatically enter a centralized damage pool inside Proaction.
  2. A dedicated claims team member reviews each report and determines whether it is claim-worthy.
  3. If a claim is warranted, the entire claim lifecycle is tracked end-to-end in Proaction, from initial assessment through resolution.

Because claims are tied directly to other Proaction data (estimates, vehicle transactions, inspection history, and more) the claims team no longer needs to chase down transactional details through Slack messages or email threads. Everything they need to determine a claim amount and move it forward lives in one place.

Result: Over $2M+ in claims processed through Proaction, with dramatically improved efficiency and visibility across the entire claims workflow.

Toll Spend Automation: $200K+ Fully Automated

Proaction now manages all toll spend for Vehicle Solutions by EquipmentShare's fleet. Over $200K+ fully automated to date.

The system works by:

  • Paying tolls on behalf of the fleet and automatically matching each toll charge to the relevant renter.
  • Consolidating all toll activity into a single monthly payment, eliminating the need to process individual toll transactions.
  • Receiving data back from toll agencies significantly faster, which accelerates the renter reimbursement cycle.

Result: Vehicle Solutions by EquipmentShare can now send reimbursement requests to renters faster and has dramatically improved its ability to capture reimbursements quickly and efficiently, turning what was once a slow, manual process into a streamlined, automated workflow.

Company Overview

Vehicle Solutions by EquipmentShare (formerly Resla) is a leading rental Tesla operator managing 1,137 vehicles across 8 US states. Based in St. Louis, their fleet relies on a free-floating carshare model and a team of 10 regional supervisors responsible for field personnel, vehicle turnover, maintenance, and reporting.

The Challenge

Rapid expansion revealed substantial operational pain points:

  • Unknown Occupants: Difficulty tracking trip participants.
  • Manual Inspections: Reservation-based vehicle checks were inconsistent.
  • Unpredictable Workload: Cleaning and maintenance demands changed daily.
  • Fragmented Workflows: Team communications and task management weren’t linked to vehicle data.
  • Service Delays: Routing maintenance and repair requests to the right departments was slow and error-prone.

The Solution: Proaction's Integrated Fleet Management Platform

Implementation with Proaction delivered:

  • Centralized Communication: Team messaging, task assignment, and alerts all synchronized with real-time fleet data.
  • Automated Task Management: Service/repair requests are triaged and routed to the correct departments instantly.
  • Unified Digital Workflows: Maintenance events, vehicle statuses, and turnover management are tracked on a single platform.

Quick Turnaround: From proposal to full deployment in under two weeks.

How Proaction Future-Proofed Vehicle Solutions by EquipmentShare's Operations

Vehicle Solutions by EquipmentShare's leadership challenged their teams:

  1. “What systems do we need but wish were behind the scenes, invisible in daily use?”
  2. “Where could we consolidate or automate if our tools could ‘talk’ to each other?”

Proaction's system delivered:

  • Seamless Integrations & Automation: Connecting the dots between disparate systems.
  • Real-Time Vehicle Tracking: Fleet status, available from any device.
  • Digital Lot Management: Remote coordination for check-in, check-out, and repairs.
  • Synchronized Data: Organization-wide visibility, supporting fast, data-driven decisions.

Conclusion

Vehicle Solutions by EquipmentShare's journey proves that digital integration and automation are not just buzzwords. They're essential for unlocking efficiency, savings, and scalable growth. Proaction's platform helped them cut repair times nearly in half, drive significant annual savings, and set a new standard for tech-forward fleet management.
