Motive and Proaction both support fleet maintenance workflows. Motive combines connected-vehicle, safety and compliance products with software for internal shops and outside repairs. Proaction combines fleet software with optional Fleet Programs through which its team coordinates selected operating work. The practical comparison is what your current software and staff can already complete, and which responsibilities you want another team to own.

For a fleet using Motive, Proaction may be evaluated alongside the vehicle, safety and compliance capabilities it needs to retain. A specific Proaction–Motive connection must be verified before relying on automatic data transfer. The presence of a marketplace or APIs alone does not establish that connection.

Motive already supports internal and external maintenance

Motive's maintenance offering includes automated work orders, inspection and fault inputs, multiple-location inventory, invoice scanning, warranty information and repair-cost tools. Test the operating gap with one outside repair

Consider an illustrative mixed fleet: its technicians handle routine work, but a vehicle needs an outside specialist. The fleet manager still has to arrange the visit, coordinate the driver, review the estimate, get approval and follow the repair until the vehicle returns.

For delegated maintenance, Proaction can coordinate the provider and driver, review estimates and warranty coverage, manage approval handoffs under fleet rules, follow progress, validate the invoice and arrange payment. Proaction's platform connects maintenance with assets and related operating work. Evaluate the additional value when the same team also handles registration, transport, claims or other selected programs. Ask to see the agreed responsibilities completed, including what your staff still needs to do.

Separate technology costs from repair and coordination costs

Motive's billing guide distinguishes recurring software subscriptions from applicable hardware purchase charges and shows quantities and unit prices on invoices. Confirm hardware ownership, replacement coverage and any return obligations in the actual order. Motive's hardware terms, effective January 1, 2026, apply to purchased hardware. Their October 2023 changelog says service-packaged hardware was no longer offered. The older cancellation policy still discusses that arrangement and separately addresses potential remaining subscription charges. For both proposals, compare the products and assets included, term, asset changes and renewal/cancellation provisions. Add shop labor, parts and internal coordination time to the cost model. A technology invoice and a managed program's service transactions cover different expenses.

Proaction pricing and monthly program spend

Expected monthly program spend is estimated together and prepaid. Overages are invoiced; unused credits carry into the following month. Compare the expected activity, funding requirement and fees with the work your fleet wants to delegate.

Proaction can coordinate U.S. shops that can service the asset and accept payment. Existing negotiated rates can be used; otherwise the provider's standard rate applies. There is no additional out-of-network surcharge. The normal Fleet Program fee still applies.

Frequently asked questions

Can Motive manage both internal shops and third-party repairs?

Yes. Motive documents both operating models, including shared work orders, repair status and maintenance history. Additional software or execution should address a defined gap in your current process, not an assumed absence of shop tools. Motive maintenance

When might Motive's native maintenance be enough?

If your staff and providers can schedule, perform, document and close repairs effectively, improving the existing workflow may be sufficient. Evaluate Proaction when there are specific provider handoffs or other fleet programs the team wants help executing.
