Proaction vs. RTA Fleet360: Shop Work and Outside Repairs

RTA Fleet360 and Proaction both support internal maintenance work and wider fleet records. RTA is worth evaluating when your team needs an FMIS for shop operations, preventive maintenance and departmental reporting, with fleet consulting available. Proaction is worth evaluating when you want to retain internal shop work while delegating selected outside repairs or other fleet programs.

The comparison should cover both software requirements and operating responsibilities. Shared labels such as work orders or inventory do not establish identical functionality. Demonstrate the workflow your shop actually uses, then decide who will coordinate providers, drivers and exceptions. RTA FAQ, Proaction platform.

Keep the shop work your team should own

Consider a vehicle due for planned service that also needs an outside specialist. Your shop may have the technicians and parts to complete routine maintenance but still need someone to arrange the outside visit, keep the driver informed and resolve the final invoice.

Proaction supports internal work orders, technician assignments, labor tracking and parts inventory. The fleet can keep those responsibilities with its own team and delegate selected outside coordination to Proaction. Preventive maintenance schedules and due-date notifications help initiate planned work as well as reported defects. Proaction platform.

For delegated repairs, Proaction coordinates the provider and driver, reviews the estimate and applicable warranty coverage, brings required approvals to the fleet, follows progress, validates the invoice and arranges payment. Provider instructions and approval rules guide the work. Proaction maintenance program.

RTA also documents outside repairs and warranty work, not just internal jobs. Its FAQ describes attaching invoices and assigning costs to the asset. A fair comparison therefore separates the ability to record and manage outside work from the option to have another team perform the coordination. RTA FAQ.

Test the requirements that matter to a maintenance department

Use one work order to assess the proposed configuration in each system. Include the service trigger, technician time, parts usage, outside work and financial handoff. Ask each vendor to demonstrate the required behavior and identify any configuration, integration or additional service involved.

Departmental billing deserves its own check. RTA describes linking transactions to an asset's customer, department or facility. If your organization allocates shop costs this way, bring the actual report and accounting requirements to a Proaction demonstration rather than assuming that basic asset-cost tracking provides the same result. RTA FAQ.

RTA's consulting work can also be relevant to staffing, replacement planning and operational assessments. Those services should be evaluated on their proposed scope. Proaction's case here is the operating work the fleet chooses to delegate, not a claim that RTA supplies software without human expertise. RTA consulting.

If enterprise interfaces are central to your decision, review Proaction's integration options and the related FleetFocus comparison.

RTA pricing and implementation

RTA's public pricing page reviewed September 9, 2026 lists Pro at $6, Advanced at $8 and Enterprise at $11 per asset per month, billed annually, with a 100-asset minimum and unlimited users. The page invites smaller fleets to contact RTA about fit and options. RTA pricing.

The published matrix distinguishes tiers and add-ons, and implementation is scoped and priced separately. Compare the required capabilities, migration, configuration and training alongside subscription costs. Do not assume that every feature shown in the matrix is included in every plan.

Proaction platform and program fees

Proaction charges a per-asset monthly platform fee. Fleet Programs carry a fee calculated on transaction value, with the rate and calculation basis specified in your proposal. Service payments and Proaction fees are separately visible. Proaction pricing.

You can retain preferred providers and negotiated rates, or ask Proaction to coordinate a U.S. shop that can service the asset and accept payment. The shop's standard rate applies where there is no negotiated rate. There is no additional out-of-network surcharge; the applicable Fleet Program fee still applies.

Expected monthly program spend is estimated together and prepaid. Overages are invoiced and unused credits carry into the following month. Include that funding arrangement when evaluating the complete proposal.

Frequently asked questions

Can RTA notify drivers about preventive maintenance?

Yes. RTA documents notices to drivers, operators, supervisors and other contacts, with configurable schedules and several meter triggers. PM notification capability alone is not a reason to distinguish the products. RTA FAQ.

Can RTA track repairs performed by outside vendors?

Yes. Its FAQ describes outside work orders, including warranty jobs and parts, with invoices and costs linked to the asset. Evaluate Proaction when you also want to delegate the agreed calls, follow-ups and payment coordination. RTA FAQ.

Can our shop retain internal work with Proaction?

Yes. Your team can retain internal maintenance while delegating selected outside repairs or other Fleet Programs. Define ownership and approval rules during configuration, including how exceptions return to the fleet.

Book a walkthrough with an internal work order and an outside repair. Identify which software requirements must be demonstrated and which coordination steps your team wants Proaction to own.
