Proaction vs. Wheels: Provider Choice and Maintenance

Wheels and Proaction both provide managed maintenance, driver coordination and fleet technology. Wheels is worth evaluating when you want a managed maintenance network, technical repair oversight and broader fleet services. Proaction is worth evaluating when you want to configure operating workflows and delegate selected programs while using your preferred service providers.

For fleets with established shop relationships, a concrete difference to examine is network policy. Wheels' driver FAQ says non-network repairs may incur additional fees, with an exception when no network shop is available within five miles. Proaction has no additional out-of-network surcharge, although its normal Fleet Programs fee applies. Compare the actual provider rates and all program charges before drawing a cost conclusion. Non-network charges FAQ says additional fees may apply; exception when no network shop is available within five miles. Confirm account terms. No additional out-of-network surcharge; the normal Fleet Programs transaction-value fee still applies
Vehicle funding Leasing and ownership options Retain useful financing relationships while selecting operating programs, subject to existing agreements
Program charges Obtain the proposed fixed, transaction and optional-service fees Per-asset monthly platform fee plus a Fleet Programs fee calculated on transaction value; service payment and fee separate

Test your actual shop list

A fleet may use a national chain near one branch and an independent specialist near another. An independent shop is not automatically outside Wheels' network: its published network includes independent facilities. Check the specific location and program before treating a provider as non-network. Wheels driver FAQ.

For each important shop, ask whether it participates in the proposed arrangement, which rate would apply and whether any additional charge or exception is relevant. If it is outside the network, ask whether it can join and what using it would require. Keep those answers with the proposal.

Proaction does not require your fleet to arrive with an existing maintenance network. It can coordinate with a U.S. shop that can service the asset and accepts the payment arrangement. Your fleet can specify preferred providers and negotiated rates where available, or use the shop's standard rate. The absence of an additional out-of-network surcharge does not mean the transaction is free. Proaction maintenance and repair.

Compare the full repair workflow

Wheels publishes preventive-maintenance scheduling, driver and management alerts, repair tracking and approvals. Its maintenance offering also includes invoice auditing, negotiated pricing and policy enforcement. Use those functions as the baseline for comparing the specific workflow and service responsibilities in each proposal. Wheels maintenance.

Proaction's platform connects asset information with fleet workflows and approval rules. Through Fleet Programs, its team can coordinate selected operational work. For maintenance, that includes working with the shop and driver, reviewing the proposed repair and following the service through payment and closeout. Check integration requirements for any systems that need the resulting records.

Ask both providers to walk through a repair at one of your preferred shops. Include an estimate that changes after inspection. Identify who contacts your approver, who updates the driver and how the final invoice is checked. A useful demonstration makes retained responsibilities and escalation paths visible.

If vehicle financing is also in scope, compare it separately. Wheels offers multiple leasing structures and ownership options; those costs and obligations should not be confused with maintenance-management charges. Wheels corporate leasing.

Compare the cost of the same job

A provider's network policy is one input to total cost. The shop's rate, the work performed, program fees and your team's remaining coordination effort also matter. Request a matched example using the same repair and a shop both proposed arrangements can use. Avoid comparing one provider's management fee with the other's full service invoice.

Proaction charges a platform fee per asset per month and a Fleet Programs fee calculated on transaction value. It shows the underlying service payment separately from its fee. Your proposal specifies the applicable rate and calculation basis. See the Proaction pricing model.

Expected monthly program spending is prepaid. When actual spending exceeds the estimate, Proaction invoices the difference; unused credits roll into the next month. Include this payment timing when assessing the proposal alongside Wheels' account terms.

Frequently asked questions

Can Wheels customers use a non-network shop?

Wheels' driver FAQ describes non-network use and says the employer may incur additional repair fees. It also describes an exception when no network shop is available within five miles. Confirm how the policy applies to your particular account; the FAQ does not supply a universal surcharge amount. Wheels driver FAQ.

Are independent repair shops excluded from Wheels' network?

No. Its published network includes independent repair facilities as well as national chains and dealerships. Verify the particular shop location rather than assuming its status from its size or ownership. Wheels driver FAQ.

Does Proaction charge nothing when we use our own shop?

No. Proaction adds no additional out-of-network surcharge, but the underlying service cost and normal Fleet Programs fee still apply. The shop must be able to service the asset and accept the payment arrangement. Confirm the fee rate and basis in your proposal.

Can we move one program without changing everything?

Proaction supports selecting the programs and execution responsibilities you want it to handle. Review your existing agreements and confirm the new scope before moving work. This is not a claim that every Wheels arrangement requires all services to be purchased together.

Bring your providers into the evaluation

Review a provider-choice workflow with Proaction. Bring your shop list, negotiated-rate agreements, approval policy and a recent repair invoice. Use them to compare the workflow and the complete proposed cost.

For a provider whose client guide expressly describes no out-of-network fee, see Proaction vs. Enterprise Fleet Management. For an internal-garage and outside-vendor comparison, see Proaction vs. Holman.
