The useful comparison is who performs each step. Fleetio automates parts of the approval and billing process; its documentation assigns appointment booking to the fleet user and says it does not negotiate individual repair orders. Proaction combines its fleet platform with optional maintenance execution.

Follow one repair from report to return
A driver reports a charging-system problem before a shift. In Proaction, the report can carry the vehicle, driver and supporting photos into a configured review or service workflow. Your team retains the approval decisions it wants to make.
For delegated maintenance, Proaction contacts the shop and driver, coordinates diagnosis, reviews the estimate, obtains the required approvals, follows progress, checks the invoice and arranges payment. Your technicians can continue managing internal work orders, labor and parts in the platform. Scheduled maintenance can also start the process: Proaction tracks service intervals and due dates, with manager and driver notifications.
Fleetio already does more than hold maintenance records. Its network supports approval rules, line-item service records and consolidated billing. Fleetio pricing and shop fees
Fleetio's published annual-billing examples reviewed September 9, 2026 are $4 for Essential, $7 for Professional and $10 for Premium per vehicle per month. These assume a five-asset plan band. The network FAQ says most shops absorb their processing charge, although some may pass it through. It lists no fleet transaction fee for Corporate Billing, debit or Coast payments, and a 1.5% fleet fee for credit-card transactions. Proaction platform and program pricing
Proaction charges a per-asset monthly platform fee. Fleet Programs carry a fee calculated on transaction value, with the fee rate and calculation basis specified in your proposal. The underlying service payment and Proaction fee are separately visible. Proaction pricing.
Bring a preferred provider and negotiated rate, or ask Proaction to coordinate a shop. We can work with U.S. shops that can service the asset and accept payment. Without a negotiated rate, the shop's standard rate applies. There is no additional out-of-network surcharge; the applicable Fleet Program fee still applies.
